Built around the rules a home is inspected against.

Atara Care is the system of record for care homes in the UK: one login, one resident record, an audit trail in every module, hosted in the UK and built around the rules a home is inspected against.

Security

The controls a care home's records need are switched on by default.

  • Two-factor sign-in

A code from an authenticator app, with ten backup codes. A home can require it for chosen roles, and group accounts must use it.

  • A PIN on every dose

A four-digit signature PIN is required each time a medicine is recorded as given, and a second person witnesses a controlled drug with their own PIN.

  • Passwords and lockout

Passwords need twelve characters with mixed case, a digit and a symbol. They are stored so that nobody, including us, can read them. Five failed sign-ins lock the account for fifteen minutes.

  • Signed out when idle

A user is signed out after thirty minutes without activity, and after twelve hours in every case.

  • Fourteen roles

Fourteen roles, from care worker to group manager, each seeing and doing only what its job needs. A group manager can see every home in the group and cannot change a record in any of them.

  • An allow-list of addresses

A home can list the internet addresses its staff may sign in from. Relatives and visiting professionals sign in from outside the home, so the list does not apply to them.

  • An audit trail that keeps every change

Every change to a record is kept with who made it and when. The controlled drugs register and the sign-in and medicines trails are locked against any change and retained for seven years, or eight years for medicines. Every other trail is written by Atara alone and shown exactly as written.

  • Hosted in the UK

Records are held on Amazon Web Services in London and encrypted. Daily backups are retained for thirty-five days, and every administrative action is logged.

  • Retention, then deletion

Each record type has its own period, up to eight years for resident records, purged nightly. A trial run can list the expired records first.

Built around the rules a home is inspected against

The regulation is named in the product where it applies, not only on this page.

  • CQC Regulated Activities Regulations 2014

Each night an English home's records are read against Regulations 9 to 20 and the evidence for each one is recorded. Regulation 17's audit trail and Regulation 20's Duty of Candour each have their own register, and so do the statutory notifications to the CQC under the 2009 Registration Regulations.

  • Regulation and Inspection of Social Care (Wales) Act 2016

Each night a Welsh home's records are read against the 2017 Regulations, and the Responsible Individual's visits and reports are recorded.

  • Mental Capacity Act 2005

Capacity assessments, best interests decisions and DoLS applications are recorded. A covert medicines plan cannot be created for a resident who has capacity.

  • Controlled drugs

The register is built on the Misuse of Drugs regulations and the published witness guidance. It is a register in which witnessed entries require two PINs and nothing can be edited.

  • Working Time Regulations 1998

The 48-hour week, daily rest and night limits over the 17-week reference period, checked before a shift is assigned.

  • Accessible Information Standard

A resident's communication and information needs are recorded and flagged where staff will see them.

  • UK GDPR

Subject access requests are tracked against the one-month deadline. Retention is set by record type, and a former resident's right to erasure is supported.

  • The NHS medicines dictionary

Prescriptions are selected from the NHS dm+d dictionary, kept up to date from NHS TRUD, so the name, form and strength are the published ones.

  • NICE guidance on medicines

SC1 on managing medicines in care homes informs the as-required reason, the homely remedy record and the controlled drug competency.
